JOB PURPOSE:

Serve as the portfolio manager for all projects and services offered by the Stanford University Libraries digitization programs. These services include digitization of maps, photos, manuscripts, audio, video, film, microfilm, posters, fine art, newspapers, 3D objects, born-digital media and other items for use in research and teaching at Stanford and beyond. Act as the first point of contact for new digitization projects, helping to shape the dimensions and components of each project in order that it may be specified, resourced and scheduled appropriately. Ensure that digitization work is completed on time, meets quality expectations, and that the output is delivered as specified, including the hand-off to downstream systems and processes. Liaise across the organization, working closely with librarians, archivists, digitization staff, metadata staff, project managers and other service managers. Defining and expand the scope of SUL’s digitization services, including strategic partnerships, grants and new business models.

Under the guidance of senior management, develop, deliver and evaluate a portfolio of programs or products. Responsible for delivering multiple products/programs within scope, on time, and within budget.

CORE DUTIES*:

● Recommend and execute product/ program plan strategy, including portfolio development and marketing, to meet business objectives. Identify and pursue opportunities for fundraising and strategic collaboration.
● Define and conduct analysis and make recommendations regarding the direction of the product/program portfolio. Act as primary service manager for the digitization program’s cost recovery-based patron request digitization service and one-off digitization services.
● Maintain a working knowledge of marketing plans as related to portfolio. Produce and maintain written material and other collateral for web and print to market digitization services to the Stanford community. Prepare and deliver presentations to prospective clients and allied professional communities.
● Assess prospective audience, planning and executing a conversion strategy to meet product/program goals.
● Implement improvements based on analysis which improve processes, programs and business across the department.
● Build partnerships and engage groups that participate in program or product delivery.
● Deliver an experience that leads to high customer satisfaction and advocacy for the program.
● Manage vendor relationships.
● May supervise others.

* – Other duties may also be assigned, including but not limited to:

● Serve as a lead project manager on large and complex digitization projects.
● Collaborate with and support other team members managing digital collection projects
● Develop cost models, track cost recovery jobs, generate invoices, interface with customers and library business services.
● Oversee the digitization queue, making sure current projects are on schedule, and the next projects are ready to begin
● Work with project stakeholders and digitization staff to produce work estimates and project plans.
● Manage all cost-recovery operations of the digitization labs (including invoicing, payment collection and customer interactions).
● Liaise with project stakeholders through the entire project lifecycle, advising library staff as necessary on how to navigate the many dimensions of a digitization project
● Generate reports on all digitization operations and related business activities.

Qualifications

 MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor’s degree and five years of relevant experience or a combination of education and relevant experience.

Knowledge, Skills and Abilities:

● Demonstrated project/program management skills, including the ability to influence without authority and the ability to manage multiple projects/programs simultaneously.
● The ability to work effectively with decision-makers across many levels of the organization.
● Experience developing new business opportunities.
● Demonstrated experience with various marketing elements (e.g. pricing, audience, channels, communication).
● Excellent written and oral communication and presentation skills.

DESIRED REQUIREMENTS:

● Experience working in, and preferably managing, high productivity digitization labs, with networked file-systems, metadata capture tools and automated workflow systems.
● Familiarity with the range of digital capture technologies, especially digital imaging and digital photography technologies, and including digitization lab setup, digital camera and scanner technology, digitization workflow, and image analysis and processing software.
● Familiarity with audiovisual content digitization technologies and processes.
● Experience assessing cultural heritage materials for digitization, and developing professional project plans and production cost estimates.
● Experience working with vendors, managing RFI/RFP processes to select vendors for hardware/software purchases or imaging services.
● Experience managing cost recovery services, including production of cost estimates, tracking and reporting status, generating invoices, and collecting payment.
● A strong service orientation, with demonstrated experience working with customers to deliver products and services on time with a high level of professionalism.

PHYSICAL REQUIREMENTS*:

● Constantly perform desk-based computer tasks.
● Frequently stand/walk, sit, use a telephone, grasp lightly/fine manipulation, speaking.
● Occasionally grasp forcefully, writing by hand.
● Rarely sort/file paperwork.
